Please read this Policy carefully before using our Services.
1. Personal Data We Collect
We collect the following categories of personal data:
A. Information You Provide Directly
- Account Information: Email address, encrypted password, display name, and account ID.
- AI Service Data: Audio recordings you upload, the resulting transcribed text, summaries, and processing timestamps. Text inputs you submit to AI conversation features (ChatGPT, DeepSeek, Gemini) and the corresponding AI-generated responses. Source and target language selections for real-time and offline translation features.
- Customer Support Data: Your email address and any information you provide when contacting us for support.
B. Information We Collect Automatically
- Usage Data: IP address, device type and model, operating system, app version, features accessed, and interaction metrics (e.g., session duration, clicks).
- Subscription & Payment Data: Subscription plan, purchase date, renewal status, and transaction ID. Payment card details are handled exclusively by our third-party payment processors and are never stored by us.

2. How We Use Your Personal Data
We process your personal data only for the purposes described below, each supported by an appropriate legal basis:

Important — Audio File Handling: When you use our AI Processing feature, your audio file is uploaded to our secure cloud servers solely for transcription and summarization. Once processing is complete, the original audio file is automatically and permanently deleted. We will never use your audio recordings or transcripts to train our AI models unless you have explicitly opted in to do so. When you use AI conversation features powered by third-party large language models (OpenAI ChatGPT, DeepSeek, or Google Gemini), your text inputs are transmitted to the respective provider and processed under their privacy policies. Offline translation is performed entirely on-device and no translation data is sent to external servers.
3. Data Retention and Security
Retention
We retain your personal data only for as long as necessary to fulfil the purposes described in this Policy, or as required by applicable law. When you delete your account, all associated personal data will be deleted or anonymized, except where continued retention is required by law.
Security Measures
We have implemented appropriate technical and organizational measures to protect your personal data, including encryption in transit and at rest, access controls, and regular security reviews.
You are responsible for maintaining the confidentiality of your account credentials. If you believe your account has been compromised, contact us immediately at app@getteks.co.
Please note: No method of transmission over the Internet is completely secure. While we take all reasonable steps to protect your data, we cannot guarantee the absolute security of information transmitted to us. Any such transmission is at your own risk.
4. How We Disclose Your Personal Data
We do not sell your personal data. We may share it only in the following limited circumstances:
- Service Providers: Trusted third parties that help us deliver the Services, including cloud hosting providers, AI processing partners, customer support platforms, and payment processors. These parties are contractually bound to protect your data.
- Corporate Affiliates: Companies within our corporate group, for internal business operations, subject to the terms of this Policy.
- Legal Authorities: When required by law, court order, or regulatory requirement, or where necessary to protect our legal rights or prevent harm.
- Business Transfers: In connection with a merger, acquisition, or sale of assets. We will notify you before your data becomes subject to a materially different privacy policy.
In all cases of disclosure, we implement contractual safeguards to ensure your data receives at least the same level of protection as required under applicable law.
5. International Data Transfers and Storage
5.1 Cloud Infrastructure (Microsoft Azure)
We use Microsoft Azure as our primary cloud service provider. Your data may be stored and processed on Azure servers located in the United States and/or the European Union, depending on your region.
For users in the EEA or United Kingdom, we default to Azure's EU data centers. Ancillary operations may involve the United States, in which case we rely on EU Standard Contractual Clauses (SCCs) and other approved safeguards.

5.3 Legal Basis for International Transfers
- Standard Contractual Clauses (SCCs): Approved by the European Commission for EEA transfers.
- UK International Data Transfer Agreement (IDTA): For transfers involving UK data subjects.
We have conducted Transfer Impact Assessments (TIAs) and implemented supplementary technical measures where required.

Financial Incentives: We may offer incentives (e.g., bonus AI processing credits) in exchange for voluntarily signing up for marketing communications. Participation is optional and you may withdraw at any time.
